Program & Activity Attendance (The Check-In/Out Models)

This article details the specific system logic used to manage participant movement and attendance. Memberworks distinguishes between Program-level attendance (arriving/departing for the day) and Activity-level attendance (movements within the day). Understanding the difference between these two "Check-In/Out" models is vital for maintaining safety, legal compliance, and accurate operational records.


1. The Three Layers of Attendance

Memberworks utilizes three distinct layers to track how participants interact with your offerings:

  • Program Check-In/Checkout: This is the high-level record of a participant’s presence at the facility for that specific program. For example, in an Afterschool program, this logs when a parent drops the child off in the afternoon and when they pick them up at the end of the day.

  • Activity Check-In/Checkout (Flow Model): This is used for transitions within a program day. It is designed for activities where you must track both the start and end of a specific event, such as boarding and departing a bus for a field trip or entering and leaving a swimming pool area.

  • Activity Tracking (Completion only): Simply marking that a participant completed an activity, no need to check them in or out


2. Activity Tracking (The Completion Model)

Distinct from the "Flow" model, Activity Tracking is used for one-off events where you only need to verify that something happened.

  • Use Case: Tracking that a child received their lunch

  • System Logic: Unlike Check-In/Out, which requires two actions (start and end), Activity Tracking only requires a single "Completed" status marker.


3. Participation Configuration (The Schedule Tab)

All forms of tracking—whether Program Check-In, Activity Flow, or simple Completion—are anchored to the Program Schedule.

  • Creating Timeslots: Within Program Management, you must establish Timeslots for every event you wish to track. These timeslots act as the "buckets" that house the attendance data.

  • Requirement for Tracking: Staff cannot log participation or mark an activity as "Completed" unless a corresponding Timeslot exists in the schedule.


4. Secure Kiosk Operations

For point-of-service attendance, Memberworks provides a specialized Kiosk Mode, a full-screen interface designed for tablets or barcode scanners. All of the checkin and checkout settings are configured in the organization settings.

  • Kiosk Pins: To prevent unauthorized users from exiting the attendance screen or accessing other system areas, Kiosk Mode is locked behind a Kiosk Pin.

  • Compliance Integration: You can configure checkin and checkout to trigger mandatory actions:

    • Require Signature: Enable signature required at checkin and checkout so the parent or authorized pickup to sign the screen during checkout.

    • Complete Forms: Create forms that you want parents to fill out every time they checkin/out of the program 

  • Authorized Pickups: The Kiosk interface cross-references the member's profile to ensure only designated Authorized Pickups are allowed to check a child out.


5. Manual and Bulk Logging

For staff managing rosters directly, participation is handled through the Tracking dashboard.

  • Individual Search: Staff can manually search for a participant on the roster and toggle their status to "Checked In" or "Completed".

  • Assignment Groups: For large programs (like sports teams), staff can use Assignment Groups to check in an entire group (e.g., "Team Blue") simultaneously, significantly speeding up the attendance process.

  • Timestamp Overrides: Staff have the authority to manually adjust the date and timestamps of these records to ensure the audit trail is accurate if data entry happens after the event.

  • Offline Import: Download our system template to fill out and import checkin/checkout data when it is tracked offline 


6. Operational Visibility & Reporting

  • Program Overview Dashboard: This dashboard provides real-time data on current check-ins, total enrollment, and remaining capacity across branches or specific program categories.

  • Activity Tracking Report: Admins can export chronological histories of all participation events, which serve as the primary documentation for state licensing or grant compliance.

  • Offline Data Sync: For off-site programs with poor connectivity, the system supports Offline Data Importing, allowing check-in records to be collected locally and synced to the member's All Activity timeline once a connection is restored.


System Setup Checklist

  • Model Selection: Is the activity a "one-off" (Completion) or a transition (Check-In/Out)?

  • Schedule Check: Have you built the necessary Timeslots in the program's Schedule tab to enable tracking?

  • Kiosk Security: Has a secure Kiosk Pin been established and tested on the point-of-service hardware?

  • Compliance Rules: If the program requires a signature at checkout, is the "Require Signature" toggle enabled in the Program settings?
