Participant Development (Evaluations & Curriculum)

This article details how Memberworks tracks participant progress through skills-based assessments and structured learning paths. Beyond simple attendance tracking, the Evaluations & Curriculum module allows staff to document skill mastery, which directly influences a member's eligibility for advanced program divisions during the registration process.


1. Evaluations: Measuring Skill Mastery

Evaluations are the individual units used to assess a participant's performance or readiness. They are highly flexible and can be configured to meet the specific needs of various departments.

  • Assessment Models: Evaluations can be set as Scored (numerical values), Pass/Fail, or simple Completion markers.

  • Skill Tracking: Staff can use these to log specific physical or technical skills (e.g., "Can tread water for 30 seconds" or "Demonstrates proper shooting form").

  • Integrated Training: Evaluations can also include mandatory Training Modules, ensuring that a participant has completed required instructional material before being assessed on a physical skill.


2. Curriculum: Building Progression Paths

A Curriculum is an organized sequence of Eval Sets (groups of evaluations) and trainings that create a structured journey for the participant.

  • Use Case (Swim Lessons): A common application is the swim lesson progression. A participant must complete the "Stage 1" eval set before moving into "Stage 2".

  • Linear Structure: Staff can place evaluations in a specific order, requiring the participant to master foundational skills before the system allows them to be evaluated on more complex tasks.


3. Automation: Division Eligibility & Placement

One of the most significant benefits of the Curriculum module is its direct link to the Program Registration engine.

  • Automated Eligibility: When a participant completes a specific level of a curriculum, the system automatically flags them as eligible for the corresponding division in future program sessions.

  • Streamlined Registration: This eliminates the need for parents to manually guess their child’s skill level or for staff to manually override eligibility blocks during sign-up.


4. Staff & Volunteer Evaluations

The evaluation logic is not restricted to program participants. Memberworks allows for Staff and Volunteer Evaluations.

  • Internal Assessments: Supervisors can assign Staff or Volunteers evaluations or curriculum to help guide them through training and ensure they maintain readiness. 

  • Prerequisite Alignment: These evaluations can also be linked to role-based prerequisites, ensuring that staff and volunteers are compliant with organization standards before they are assigned to work in specific programs.


5. Visibility & Progress Tracking

Participant progress is centralized and visible to both staff and members to ensure transparency.

  • Member Profile (Progress Tab): Staff can view a participant's full assessment history, including completed skills and remaining curriculum requirements, in the Progress tab of the individual's profile.

  • Member Portal: Participants (or their parents) can view their own progress through the member portal, providing them with real-time feedback on their development. Members can also complete certain tasks on their own when they are set to be self-evaluated. 


System Setup Checklist for Evaluations & Curriculum

  • Define Scoring Models: Determine if each skill should be Pass/Fail or Scored before publishing the evaluation to the staff dashboard.

  • Map to Divisions: Confirm that the completion of an Eval Set is correctly mapped as an eligibility trigger for the intended program division.

  • Review Permission Tiers: Ensure only authorized instructors have the Manage permission to log evaluation results for their assigned rosters.

  • Audit Historical Data: Use the All Activity timeline to verify that curriculum completions are being recorded accurately alongside attendance data.
