Making Changes to a Membership

Every membership change in Memberworks happens from the member's profile, so you never have to leave the person you're helping to go find a separate billing screen. Changing a type, freezing, upgrading, adding or removing add-ons, and cancelling all live behind one button.

Find the member

  1. Click People in the left rail menu to open People Management.

  2. On the Lookup tab, search by name, email, phone, or barcode.

  3. Click the person's row to open their record.

You'll land on their Dashboard, which shows their personal information on the left, their current membership in the middle, and Quick Actions on the right.

Open Manage Membership

In the Quick Actions panel, click Manage Membership.

A window opens with the current membership at the top for confirmation. It shows the membership type and subtype, who the primary member is, and the membership status. Take a second to check that this is the right household before you go further.

Below that, under Select Action, you have six choices:

  • Change Membership Type

  • Upgrade Membership

  • Freeze Membership

  • Cancel Membership

  • Add Add-ons

  • Remove Add-ons

Each one takes you to a short step where you make the change, and a Back button returns you to this menu if you picked the wrong one.

Change Membership Type

Use this when someone needs to switch to a different type or subtype, like a member aging into a different rate or moving from a household plan to an individual one.

Pick the membership type first, then choose a subtype underneath it. Each subtype includes its description so you can confirm what the member is getting before you commit.

Two things on this screen help you make the right call. Current shows what the member has today. Suggested shows the subtype that fits them based on their record, such as Adult (27 - 64) for a 41 year old. Any subtype outside that suggestion is labeled Override, which means you're choosing something other than the recommended fit. You can still select it when the situation calls for it, and the label is there so the choice is deliberate rather than accidental.

Upgrade Membership

Use this to add household members to an existing membership, like a spouse joining or a child who wasn't on the original account.

Memberworks lists the people already on the household record with their age and relationship, so you can select one or more of them without retyping anything. If the person isn't on the record yet, click Add someone new. Then click Continue and confirm the membership subtype on the next step, since adding people often means the household needs a different plan.

Freeze Membership

Use this when a member is going to be away or needs a break but plans to come back.

Set a start date. Today's date is filled in for you, so pick today for an immediate freeze or a future date to schedule one ahead of time. The member keeps access up until the start date.

Then set an end date, choose a reason from the dropdown, and add notes if there's anything the next staff member should know. Last, set the freeze discount %. During the freeze the member is billed the discounted amount rather than their full rate, and billing goes back to normal automatically when the freeze ends. Nobody has to remember to turn it back on.

Click Freeze membership to finish.

Add Add-ons

Use this to sell additional services on top of an existing membership, such as 24/7 facility access.

Check the box next to each add-on you want. The monthly price shows next to it, so you can tell the member exactly what their bill will look like. Add-ons start billing on the next billing cycle. Click Add Add-Ons to save, and the monthly cost on the member's dashboard updates to reflect the change.

Remove Add-ons

Use this to stop billing for an add-on the member no longer wants.

Check the box next to each add-on you're removing, then click Remove Add-Ons. Billing stops for those services and the monthly cost on the dashboard comes back down.

Cancel Membership

Use this when the household is ending the membership entirely. Cancelling ends the membership for everyone on it, not just the primary member, and stops all future billing.

Members keep access until the end of the current paid cycle, and that cycle isn't refunded. If you need access to end on a specific day, set an Access ends date. Leave it empty and access ends at the next billing date, or today if the membership is already paid in full.

Click Cancel membership to finish.
